Next Level Camps Booking Terms and Conditions:

Cancellation Notice and Charges:

  1. It is the account holder’s responsibility to cancel sessions.
  2. You can cancel up to 14 days ahead of the start of the camp season, with a 50% refund. This is to account for booking processes, impact to camp attendance and administration fees.
  3. Any booked sessions which are not attended are still charged unless 14 days’ notice is given.
  4. On the day of camp, parents must inform the Camp Leader, by calling the camp phone number, if their children are arriving late.
  5. Booking transfers can only be made subject to availability and with a minimum of 10 days’ notice of the start of the booked camp season you want to change. It is free to transfer your booking. This must be done by email to customer service at contact@nextlevelcamps.co.uk. Transfers within 10 days, if possible, will incur an administration fee of £20. Transfers cannot be made within 48 hours.
  6. A phone message / voicemail from you does not equate to a confirmed transfer of booking. A booking has been transferred only once a member of the customer service team has confirmed with you, and there is proof of this in writing via email from our customer service team.
  7. Any booked sessions which are not attended are still charged.
  8. All bookings must be made prior to arriving onsite. If you arrive at a site and have not booked your child will not be accepted until a booking is made.
  9. It is the parents’ responsibility to complete the booking form honestly and precisely, including all medical information, child preferences, and personal details. These are the details we will use to care for your child.
  10. It is the parents’ responsibility to let the camp know of any late cancellations within the time as stated above.

Late Collection Fees:

  1. Children who have not got ‘camp plus hours’ on their booking, but have stayed later than their booking, will incur a £5 charge.
  2. A charge of £8 per 15 minutes will be applied to all collections made after the advertised session end time.
  3. In the event we cannot contact the parent(s) of a child who is late being collected, after a certain amount of time, the reasonable length of which is deemed during the situation, we will call the police and social services.

Safeguarding and Welfare:

  1. Next Level Camps Ltd is committed to safeguarding all the children in our care from harm and abuse.
  2. Next Level Camps Ltd has a thorough safeguarding process which is stored and shared with all necessary safeguarding personnel associated with NLC and the relevant local authorities
  3. Next Level Camps Ltd are obligated to report any suspected child abuse or neglect to the relevant authorities.
  4. Parents must inform Next Level Camps Ltd of any conditions or needs that may affect their child (medical, learning, behavioural, etc). If full information is not provided, this may result in Next Level Camps Ltd excluding them from certain activities or if it felt necessary, excluding them from using Next Level Camps Ltd. In such circumstances no refund or credit will be paid.
  5. All staff at Next Level Camps Ltd have a legal duty to respond if we suspect a child may be exposed to a form of abuse, or if a child discloses information to us. We take this duty of care very seriously and our staff are vigilant for the signs of abuse.
  6. Next Level Camps Ltd train all staff in spotting the signs of abuse and the procedures to take in the case of a disclosure.

Medication:

If your child requires medication of any sort, including an inhaler or epi-pen, the following must be in place before your child can attend:

  1. Completed health care plan, to be completed upon booking and confirmation
  2. Permission to administer medication form, completed upon booking and confirmation
  3. Bring a supply of medication to NLC each and every day of your child’s attendance

Please note: If the above is not in place, your child will not be able to attend the session, and you may be called for collection.

Collecting:

  1. Children can only be collected by an adult over the age of 16 who has been authorised to collect them which is done by the parent adding collectors on their account as a collector.
  2. Collection is complete using the collection password, to ensure the utmost safety of our children at camp.
  3. If a member of our staff does not feel comfortable releasing a child, even if the collection password has been issued, it is their prerogative and duty of care to follow all deemed necessary stages before releasing that child. For example, asking for identification of the collector.

Exclusion:

  1. Next Level Camps Ltd reserve the right to exclude or refuse any person without notice, if we consider that their presence compromises the safety, happiness or successful running of the camp.
  2. Transport home will be the responsibility of the parent and no refund/credit will be available.

Forced Closures:

  1. If Next Level Camps Ltd is forced to close due to an external factor such as bad weather, infectious or contagious disease outbreak, power cut, or by order of Local Authority or Environmental Health, customers can request a refund of no less than 20% but up to 50% of their booking, subject to the circumstances, and confirmed by customer services.
  2. To request this, an email must be sent to contact@nextlevelcamps.co.uk.

Schedule Changes:

  1. Next Level Camps Ltd may need to amend activity programmes, schedules, services, dates, times and/or venues on occasions that may be out of our control. This will be without refund or compensation to the customer.
  2. Planned changes, for example due to weather issues, will be communicated via the NLC communication channels: email, Instagram and WhatsApp.
  3. Unplanned changes may not be communicated beforehand but will be shared, when necessary, with parents through our communication channels that evening.
  4. For additional workshops and courses, if we need to schedule a change due to an internal factor, we will offer transfers and refund. If it is due to an external factor, we will only offer a transfer of booking.

Photography:

  1. Next Level Camps Ltd takes photographs and videos at our venues which can be used for marketing and promotional purposes, including on our social media channels: LinkedIn, Facebook and Instagram; our website www.nextlevelcamps.co.uk; and any other marketing materials including advertisement.
  2. Next Level Camps Ltd will only photograph your child if permission is given.
  3. Next Level Camps Ltd will only use photographs of your child for promotional material if permission is given.
  4. If you would rather your child was not included in any photographs, please ensure your child’s details are up to date on our booking system.

Complaints:

  1. If you or your child were not entirely satisfied with the services we provided, we would appreciate the feedback.
  2. At the first instance, please speak with your Camp Leader who will strive to resolve your complaint.
  3. If you are still not satisfied or would like to speak to our Head Office, please see our complaints procedure for official steps, this can be found on our website www.nextlevelcamps.co.uk.
  4. If you feel the complaint outcome is insufficient or would like to escalate your grievance further, please email contact@nextlevelcamps.co.uk.

Liability:

  1. Next Level Camps Ltd do not accept liability for personal injury or death of any participants unless directly caused by the proven negligence of the company or its servants.
  2. Next Level Camps Ltd take no responsibility for any items that are lost/stolen or damaged whilst at camp. It is our reccomendation to not bring anything more to camp than stated in the camp kit list, this includes your children's toys.
  3. NLC’s campers, staff, equipment and location are all covered by Public Liability Insurance up to £5million.

Lost Property:

  1. During a camp season, lost property will be laid out in the camp reception for parents to come and identify items to collect.
  2. Next Level Camps Ltd cannot guarantee that lost items will be found on site.
  3. After the camp season, a parent can contact our customer service team at contact@nextlevelcamps.co.uk within 14 days to request an item they deem lost.
  4. If it is found by the customer service team, postage costs of lost property are the responsibility of the parent.
  5. Unclaimed lost property will be distributed to local charities 14 days after the end of the camp season.

Parent Abuse of Staff:

  1. The threat or use of physical violence, verbal abuse, intimidation or harassment towards our staff is likely to result in a termination of all direct contact.
  2. Such incidents may be reported to the police and will always be reported in the case of physical violence being used or threatened.

Data Protection:

  1. Next Level Camps Ltd collect personal details for you and your child to register and enable us to process your booking.
  2. It is your responsibility to ensure that you have the necessary permission to pass on the personal details of everyone required.
  3. Next Level Camps Ltd may hold some of your details for future marketing purposes.
  4. Please let us know if you do not want to receive future communication from Next Level Camps Ltd.
  5. Next Level Camps Ltd is compliant with the UK Data Protection Act, and all personal details are stored and treated confidentially and safely, as in line with UK Data Protection Act and consumer legislation.
  6. We may use your information to tell you about other NLC products or services.
